Single Stakeholder List
Managing audiences/stakeholders across multiple initiatives can be challenging, but ChangePlan simplifies this process by providing a single stakeholder list that is shared across all initiatives. This ensures that everyone is working with consistent, up-to-date information, fostering better collaboration and efficiency.
Benefits of a Single Stakeholder List
- Unified System: All users access the same stakeholder list, ensuring alignment across initiatives and portfolios.
- Comprehensive View: Understand the impact of changes on stakeholders across projects.
- Centralized Access: View stakeholders through an org chart, list of individuals, or custom groups, tailored to your organization’s structure.
How to Access Your Stakeholder List
- Navigate to the Audience Page:
- Go to the All Initiatives View and select the Audience page.
- Explore Three Tabs:
- Org Chart: Displays your organizational hierarchy.
- List of Individuals: Upload or sync individuals from your HRAS or Active Directory system.
- Custom Groups: Create groups that don’t fit neatly into your org chart, like cross-functional teams.
Exploring Org Chart and Stakeholder Data
- Org Chart Navigation:
- Select a group from the org chart (e.g., Audit group).
- View the number of initiatives, change impacts, and activities targeting that group.
- Analyze Hours Away from Regular Work:
- See a rolled-up summary of time spent on change management activities for the group.
- Calculation: Total time away from normal work × number of individuals in the group.
Creating and Managing Custom Groups
- Custom Groups: Create stakeholder groups that span organizational boundaries or represent specialized teams.
- Use Case: Custom groups enable flexibility when stakeholders do not fit within the traditional org chart structure.
Steps to Utilize Your Stakeholder List
- Navigate to the Audience Page:
- Go to All Initiative View > Audiences.
- Choose a Tab:
- Select Org Chart, Individuals, or Custom Groups depending on your needs.
- Drill Down into Details:
- For org charts, click on specific levels or groups to get a bird’s-eye view or dive into granular details (e.g., the number of change impacts targeting a group).
Pro Tips for Effective Stakeholder Management
- Leverage Custom Groups: Use these for stakeholders who do not fit neatly into the org chart.
- Track Group Workload: Use rolled-up summaries of hours to manage stakeholder time effectively.
- Sync Data Regularly: Keep your stakeholder list updated by syncing with HRAS or Active Directory.
