How can we help?

Add and track benefits

Define, value and track the benefits of an initiative, including change management's contribution.

Who this is for: Change managers and initiative owners who want to show the value of their change work.
Benefits let you define, track and show the value each initiative delivers, and how much of it comes from change management. Set them up early in an initiative and revisit them at each milestone so they stay aligned with business goals.

Add a benefit

  1. Open the initiative from the Initiatives page, or from the recent initiatives in the left menu.
  1. In the initiative's left menu, click Benefits.
  1. Click Add New Benefit.
  1. Describe the benefit:
      • Category: choose a category, for example cost savings or productivity gains. Match the categories your organisation already reports on.
      • Title: a short, descriptive name.
      • Description: a clear, brief explanation of the benefit that others can understand.
  1. Estimate its value:
      • Financial value: the estimated savings, efficiency gains or avoided costs.
      • Metrics (optional): how you'll measure the benefit over time, for example a 15% reduction in task time.
  1. Set when and who:
      • Time frame: when the benefit will be realised: Short Term, Medium Term or Long Term.
      • Benefit owner(s): the people responsible for overseeing it.
  1. Show change management's part:
      • Change contribution: the percentage of the benefit that change management contributes, for example 10% of a productivity gain from coaching and training.
      • Validation approach: how you'll prove that contribution.
  1. Save the benefit.

Keep benefits up to date

  • Revisit benefits at project milestones and in governance reviews, and update them as the initiative changes.
  • Make sure every benefit has an owner.
  • Use data from your systems or surveys where you can. If you don't have a metric yet, use a qualitative description or a proxy until you do.

Tips for using benefits

  • Agree how to value benefits. Work with your change team to standardise financial estimates so they're consistent across initiatives. Think broadly: a process improvement can cut costs or improve customer loyalty over time.
  • Share the benefits table with project leads, sponsors and the change team so everyone is aligned on outcomes.
  • Talk value with leaders. Specific numbers make a stronger case, for example: "This initiative could increase productivity by 20%, saving one full-time role's time per week."
  • Use benefits to prioritise. High-effort, high-benefit initiatives deserve focus and leadership backing.
