ChangePlan User Types

ChangePlan user license types

ChangePlan user licenses are not required by individuals for the below roles. Being assigned one of these roles does not grant these individuals access to log in to ChangePlan.
  • Activity deliverer
  • Activity owner
  • Impact owner
  • Risk owner
  • Deliverable owner
  • Project manager
 

System administrators

We recommend each organization has a maximum of two administrator users, since these users are able to make changes to sensitive backend settings that can affect all users.
System administrators can only be added and removed (provisioned and deprovisioned) by the ChangePlan team
Backend configuration settings: Access/edit • ChangePlan users: Add (license count permitting)/edit/delete  • Portfolios: Default access to all portfolios, Add/edit/delete  • Initiatives: Default access to all initiatives, Add/edit/delete, assign to portfolios
 

Full users

This is the default user type for change practitioners using the system.
Backend configuration settings No access • ChangePlan users: No ability to add/remove new ChangePlan users • Portfolios: No default visibility. Can be added as a portfolio owner, contributor or viewer • Initiatives: No default visibility. To see initiatives, must be added as an initiative owner (change manager), contributor or viewer Add/edit/delete, assign to portfolios
 

View only users

Backend configuration settings No access • ChangePlan users: No ability to add/remove new ChangePlan users • Portfolios: No default visibility. Can be added as a portfolio viewer only • Initiatives: No default visibility. To see initiatives, must be added as an initiative viewer

Portfolios • Add new initiatives to the Portfolio Initiatives • Access/edit/delete all Initiatives in the Portfolio Note: • Granted ‘Full access’ permission to initiatives they create. User management • Add/remove Portfolio Editors & Portfolio Viewers • Add/remove: Initiative full access users, Initiative editors, Initiative Viewers
Editor
Initiatives • Add new Initiatives to a Portfolio by selecting that Portfolio in the dropdown in the ‘Add Initiative’ screen. Notes: • If a user is listed as editor, they are not automatically listed as ‘editor’ for each of the initiatives within.  • If you wish this user to appear in the Initiative’s Editor list, add them to the Initiative Editor role ◦ One-by-one in each Initiative’s Add/edit screen ◦ Or, by selecting multiple initiatives and the role ‘editor’ in the user’s profile in Settings/Users • Because Initiative roles have a certain priority over Portfolio roles, if a user is a Portfolio editor, but also has full access for an Initiative within this Portfolio, they have full access to the Initiative.
Viewer
Initiatives • Read-only access to all Initiatives within the Portfolio • No access to Initiative Risks, Activities and Stakeholder pop-up screens • No access to Deliverables and Success pages  Notes: • If a user is listed as Portfolio Viewer, they are not automatically listed as ‘Initiative Viewer’ for each of the initiatives within.  • If you wish this user to appear in the Initiative’s Viewer list, add them to the Initiative Viewer role ◦ One-by-one in each Initiative’s Add/edit screen ◦ Or, by selecting multiple initiatives and the role ‘viewer’ in the user’s profile in Settings/Users • Because Initiative roles have a certain priority over Portfolio roles, if a user is a Portfolio Viewer, but also a Change Manager for an Initiative within this Portfolio, they have full access to the Initiative.
“Portfolio owner”
No specific rights Can be assigned to any individual in the organization, not just licensed ChangePlan users. This is a title only. This individual will not be notified by email if they are added to an initiative.

“Change manager”
No specific rights Can be assigned to any individual in the organization, not just licensed changeplan users. This is a title only and is used to show on the All initiatives table as well as the change canvas report. This individual will not be notified by email if they are added to an initiative.
