Chapter 8: Planning and Tracking Activities

Effectively planning and tracking activities is crucial to managing change initiatives. ChangePlan enables you to create, organize, and monitor activities while ensuring they are aligned with stakeholders, risks, and impacts for a seamless change process.

Creating Activities

  1. Add Stakeholders and Impacted Audience
      • Access the Stakeholders Panel to select affected groups or individuals from the org chart.
      • Specify the magnitude of impact and set impact levels for each group.
  1. Build an Activity Plan
      • Assign an Impact Owner for traceability and accountability.
      • Populate the initiative with relevant activities that address the identified impacts and risks.
  1. Define Activities
      • Add activity details like type (e.g., training, presentations), delivery time, and target audience.
      • Assign an Activity Deliverer to ensure completion and accountability.

Linking Activities to Risks and Impacts

  • Connect Activities: Ensure activities are aligned with identified risks and impacts for cohesive planning.
  • Mitigate Risks: Add activities that directly address and reduce risks (e.g., communication plans for stakeholder resistance).

Tracking and Monitoring Activities

  1. List and Kanban Views
      • Save activities and view them in a list format for quick navigation.
      • Use the Change Phase View (Kanban-style) to track activities across different stages of the change process, aligning with popular change management frameworks.
  1. Monitor Progress
      • Regularly review activities to ensure alignment with initiative goals and stakeholder needs.

Activity Burden Heatmap

  • Visualize Stakeholder Time: Use the Activity Burden Heatmap to see how much time stakeholders spend on change-related tasks.
  • Balance Workloads: Identify areas where stakeholders may be overburdened and adjust plans accordingly.
Pro Tip: Plan activities with realistic timeframes to minimize disruptions to regular work.

Use Case: Tracking Activity Burden

Organizations often underestimate how much time stakeholders spend on change-related activities. With ChangePlan, you can:
  • Track total time spent on training, meetings, or communications.
  • Visualize workload distribution across teams or individuals.
  • Adjust activity plans to prevent burnout and maintain productivity.

Why This Matters

  • Streamlined Planning: Define and connect activities to specific risks and impacts.
  • Efficient Monitoring: Use tools like the Kanban view and heatmaps to track progress and visualize workloads.
  • Improved Outcomes: Ensure every activity supports the initiative’s goals and stakeholder needs.
