Use the change checklist

Add, assign and track change checklist items for an initiative, and report on checklist progress.

Who this is for: Change leads and team members who deliver change tasks.
The change checklist is where you plan and track the tasks that deliver a change, across communication, training, stakeholder engagement and governance. Use it during planning to set milestones, then week by week to track progress.

Add a checklist item

  1. Open the initiative from the Initiatives page, or from the recent initiatives in the left menu.
  1. In the initiative's left menu, click Change checklist.
  1. Click Add Checklist Item.
  1. Fill in:
      • Title and description of the task
      • Start date and due date
      • Owner and their team
      • Estimated time required
      • Change phase (optional), to line the item up with a milestone
      • Progress as a percentage or status, from Not Started to Complete
  1. Save the item.
You can add, edit or remove items to fit your organisation's framework.

Track progress

  1. Use Filter to view items by owner, category, change phase or status. Team leads can filter to manage their own deliverables.
  1. Update each item regularly with its progress and the actual time spent.
  1. Watch for overdue items or resource gaps. Completion rates, time tracking and status show on the initiative dashboard.

Report on the checklist

  • To report across initiatives, run the Initiative Checklist Progress by Portfolio report under Reports in the left menu and export it to Excel.

Example

Before a product launch, a change manager uses the checklist to confirm that stakeholder engagement sessions are delivered, communication materials are finalised, enablement and training sessions are scheduled, and every task lines up with the final governance milestone.

Tips

  • Assign owners by accountability, for example by department.
  • Review weekly in governance or team meetings.
  • Define clear outcomes for each item so you know when it's done.
  • Co-create the checklist with cross-functional leads.
  • Reuse checklists: use checklist templates for change types you run often, to save time and stay consistent.
  • Link items to related activities, risks or impacted groups for a full view of execution and readiness.

Common questions
