How can we help?

Find and organise initiatives and portfolios

Find, sort and organise your change work

Who this is for: All users. Deleting an initiative needs owner or editor access.

How ChangePlan is organised

Enterprise (your organisation) → Portfolio (a group of related initiatives) → Initiative (one change project) → Records (audiences, impacts, activities and more).
What you enter inside an initiative rolls up into portfolio reports.

The All Initiatives page

Your home base: every initiative you can access

Filter the table by any column
Filter the table by any column
This is your home base. It lists every initiative you have access to.
  • Open an initiative: click its name.
  • Switch between initiatives: use the recent initiatives list in the left menu.
  • Sort: click a column heading.
  • Filter and search: use the toolbar above the table.
  • Columns: show, hide or resize columns to suit how you work.

Create a portfolio

Name your portfolio, pick its initiatives, then save

Portfolios group related initiatives so you can report across them.
To add a portfolio:
  1. Click Create.
  1. Choose Portfolio.
  1. Enter a Portfolio name and choose its Initiatives.
  1. Under Full Access, add the people who can view and edit the portfolio and add users to it.
  1. Click Save & view portfolio.

Duplicate an initiative

Use the row menu on the table and choose Duplicate. This is useful when a new project follows the same pattern as an old one.

Delete an initiative

Deleting an initiative can’t be undone
Deleting an initiative can’t be undone
If you’re the initiative’s owner or an editor, or a ChangePlan admin, you can delete it from the row menu. This can’t be undone, so check with the initiative owner first.
💡 Tip: Portfolio reports live under Reports in the left menu, not inside a single initiative.

More about the initiatives table

  • What the columns show: Portfolio, Change Size, Type, Go Live Date/s (overdue dates show in red), Status (for example Active, Completed, On Hold, Pending or Hidden), org group, individual and custom group counts, Adoption & Readiness, Change Impacts, Open Risks, overdue and completed activities, and the people assigned (Sponsors, Change Managers, Editors, Viewers, Full Access).
  • Change Size uses dots, not colours: Small (1 dot), Medium (2), Large (3), Extra Large (4). It shows how much change support the initiative needs, not whether it is on track.
  • Show one portfolio: click Filter, choose Portfolio and pick the portfolio you want. Or click the Portfolio column heading to group initiatives portfolio by portfolio.
  • Duplicate options: when you duplicate, choose which parts to copy (for example impacts, audiences, activities and milestones) and set a new start date. ChangePlan moves activity and deliverable dates to match, so you don't have to update them by hand.
  • Bulk actions: tick rows (or select all results across pages) to use bulk actions such as Bulk Deploy.
For search, sort, filters, columns and export on any table, see Work with tables.
