Understand how ChangePlan counts people

How ChangePlan works out the number of people in groups, initiatives, activities, impacts and the activity burden heatmap.

Who this is for: All users, especially admins checking audience numbers
ChangePlan shows the number of people affected in several places: on groups, initiatives, activities, impacts and the activity burden heatmap. This article explains how each count is worked out, so you can check a number and spot double counting.

People in an org group

By default, ChangePlan counts the individuals you've added to each org group.

If your organisation doesn't add individual employee records to ChangePlan, you can set the headcount yourself so group sizes are still accurate:
  1. Open the org group from Org groups.
  1. Turn on Set headcount manually.
  1. Enter the number of people in the group and save.

This number is now used as the group's headcount. If the group is a child group, it also counts towards its parent group's total. The count at the top of the page may not update until you refresh it.

Initiative audience count

You'll see this in the Audience column of the Initiatives page:

And in the Audience panel on the initiative's dashboard:

Count
What it adds up
Individuals
People in the selected child groups (not their parent groups, unless a parent is selected) + individuals added one by one + individuals in custom groups
Groups (dashboard panel)
Selected child groups (not their parent groups, unless a parent is selected) + custom groups
Check for duplicates: a person can be counted more than once if they are in a custom group as well as an org group or another custom group, or were also added one by one.

Activity audience count

You'll see this in the Audience count column of an initiative's Activities list:

And in Activities in the left menu, on both the Upcoming and Completed lists:

For each activity, ChangePlan adds up:
  • people in the targeted child groups (not their parent groups, unless a parent is targeted)
  • individuals targeted one by one
  • individuals in the targeted custom groups
The same duplicate check applies.

Activity burden heatmap

Row type
People counted
Time away per person
Org group
Individuals in the group plus all of its child groups (the number of groups isn't used)
Total time away (hours) Γ· people in the group and its child groups
Custom group
Individuals in the custom group
Total time away Γ· people in the custom group
Example: 1,728 hours Γ· 673 individuals = 2.6 hours per person.

When you add an activity

The Audience targeted count shows the people the activity reaches:

It adds up individuals in the selected child groups (not their parent groups, unless a parent is selected), individuals selected one by one, and individuals in the selected custom groups. The total "of X selected" is the initiative's audience count:

Activity status on the initiative dashboard

The Previous week, This week and Next week counts use the same calculation as the activity audience count above.

When you add an impact

The total "of X selected" when you choose the impacted audience is the initiative's audience count, as on the Initiatives page and the dashboard's Audience panel:

The Affected audience count adds up:
  • individuals in child groups given an impact level (not "No impact"), not their parent groups unless a parent is selected
  • individuals given an impact level one by one
  • individuals in custom groups given an impact level
